This policy explains what personal information IJEN SPA (Toko Puri Dharmawangsa A14, Jalan Dharmawangsa, Benoa, Nusa Dua, Bali, Indonesia) collects when you use this website or book a treatment, why we collect it, and the choices you have.
1. Information we collect
- Booking details — the name, phone number, services, oils, focus/avoid areas and appointment time you provide when you book through our website or at reception.
- WhatsApp conversation — messages you exchange with our business number, including service preferences you explicitly tell us (for example a massage, oil, pressure or preferred appointment time).
- Health information you choose to share — e.g. pregnancy status or medical conditions. You provide this only so our therapists can give you a safe, suitable treatment. It is used for that purpose and not for anything else.
- Usage & device data — pages viewed, the steps of the booking flow you reach, approximate journey, browser/device type and IP address. For analytics your phone number, if provided, is stored only as a one-way hash — never the raw number.
- Advertising identifiers & cookies — when you consent, Google Ads conversion tags and ad-click identifiers (e.g. gclid) help us measure whether our ads led to a booking. These are not set until you accept cookies.
2. Why we use it
- To take, confirm and manage your booking, and to contact you about it (including via WhatsApp if you message us).
- To deliver a safe treatment suited to your health and preferences.
- To help authorised reception staff recognise a returning guest and prepare a personalised, human-reviewed reply. Suggested replies are never sent automatically, and we do not use this feature to infer sensitive personal traits.
- To understand how the site is used and to improve it.
- With your consent, to measure and improve our advertising.
3. Cookies & consent
Essential functions (loading the site, remembering your booking draft) work without tracking cookies. To make a future booking easier, the public booking page also keeps the name and phone number you enter in this device's local browser storage until you clear the site's data or choose Not you? Clear in the contact step. This local profile is not a login and does not follow you to another device.
Non-essential cookies — Google Ads and analytics — are loaded only after you accept them in the banner shown on your first visit. You can decline, and you can change your choice at any time by clearing this site's data in your browser.
4. Who we share it with
We do not sell your data. We share limited data with service providers that help us operate:
- Google — advertising and analytics measurement (only with your consent).
- WhatsApp / Meta — if you choose to message us on WhatsApp, that conversation is handled by WhatsApp.
- OpenAI — when our Guest Memory assistant is enabled, limited WhatsApp text is processed to extract only explicit spa-service preferences for authorised staff. The assistant stores short facts with links to the original message evidence, not a second copy of the conversation.
5. How long we keep it
Booking records are kept as long as needed for our business and accounting records. WhatsApp preference summaries are refreshed when the underlying conversation changes and are kept only as long as needed to serve the guest. Analytics and ad-measurement data are kept for a limited period. You can ask us to delete personal data where we are not required to keep it.
6. Your choices & rights
You can ask to access, correct or delete the personal data we hold about you, withdraw consent for advertising/analytics, or ask us not to use your WhatsApp conversation for personalised staff suggestions. Contact us using the details below and we will respond.
